What you should be able to see about your business from your phone on a SundayLo que deberías poder ver de tu negocio desde el celular un domingo

If knowing how the week went means calling someone or opening five files, you do not really have visibility.

Picture a quiet Sunday. You want to know how the week went: what was sold, what is owed, what is coming next week, whether anything went wrong. In many businesses, the honest answer is that you cannot know until Monday, when you ask someone. The information exists, but it lives in different places, and somebody has to put it together.

The test is simple. If you cannot answer the basic questions about your business from your phone, without calling anyone, you depend on people to see your own company.

The questions worth answering

Not every number deserves your Sunday. The point is a short list that tells you whether the business is healthy and where to look on Monday. For most owners it includes:

  • What we sold this week, and how it compares to a normal week.
  • What customers owe us, and how much of it is late.
  • What we owe, and what has to be paid soon.
  • How much cash is available.
  • Which orders or jobs are late or stuck.
  • What is committed for next week: deliveries, installations, appointments.
  • Anything unusual: a large discount, a cancelled order, a complaint.

Your list may be different. Write it down. If you cannot name your own few numbers, that is the first thing to fix.

Why the numbers are usually not there

The numbers are missing on Sunday for the same reasons they are late on Monday. Sales are tracked in one place, invoices in another, stock in a third. Someone has to collect them, check them and send them. The report depends on that person's week.

Even when the numbers exist, they often come in a format meant for an accountant, not for an owner: long, detailed and closed at the end of the month.

One source, updated by the work itself

The reliable way to have the numbers on Sunday is to stop preparing them. When sales, invoices, purchases and operations are recorded in one system as they happen, the numbers are always current. Nobody has to compile them. A dashboard simply reads them.

This changes the role of reporting. Instead of someone spending hours each week building a summary, the summary is always there, and people spend their time on the exceptions it reveals.

Keep it short

A good owner's view fits on one screen. If it needs scrolling through pages of tables, it will not be read on a Sunday, or on any other day. Each number should answer one question and lead, with one tap, to the detail behind it when you need it.

The aim is not to manage the business from your phone. It is to be calm when things are fine and to know exactly where to look when they are not.

Be careful with what you look at

Visibility can turn into constant checking. A view you open every hour stops being useful and starts being stressful. Decide when you will look: a quick check at the end of the week, perhaps one in the middle. The point is that the information is there when you want it, not that you watch it all the time.

Make sure the numbers can be trusted

A view on your phone is only useful if you believe what it shows. If the sales number does not match what the team says, or the cash figure is always a few days behind, you will go back to calling people. Trust comes from the same source as the numbers: work recorded in the system when it happens, by the people who do it. When a number looks wrong, follow it back to the record behind it and fix the step that produced it. After a few weeks of that discipline, the view becomes the first place you look, and the calls stop.

A first step

Write your list of Sunday questions. Next to each one, note where the answer lives today and who would have to give it to you. The items that depend on a person are the ones to move into the system first.

Our free checklist of what you should be able to see from your phone on a Sunday gives you a complete list to compare with yours, and you can read it right away.

Seeing your own business should not require anyone's help. When it does, the problem is not the people. It is where the information lives.
